How work flows through Fylder

Every job follows the same path, from a client's request to the final payment. Fylder links each step to the next.

Most work in Fylder follows one path:

StepWhereWhat happens
1. RequestRequestsA client asks for work. You may book an assessment visit.
2. QuoteQuotesYou price the work with items from your catalog and send it.
3. ProjectProjectsWhen the client approves the quote, Fylder starts a project for the work.
4. VisitsJobs and ScheduleEach trip to the site is a job (a visit) on the project. Crews log the materials they use.
5. InvoiceInvoicesYou bill the project: the approved quote plus anything added on visits.
6. PaymentPaymentsYou record what the client pays until the balance is zero.

You don't have to use every step. A small one-off job can go straight from a job to an invoice, and you can create a quote without a request.

The pipeline strip

Every request, quote, project, job and invoice page shows a pipeline strip at the top. It lists each stage (RFQ, Quote, Project, Visits, Invoice, Paid), with a link to every record in the chain. When a stage has several records, such as three visits, click it to see the list.

The strip also shows the money for the project:

  • Contract: the total of the approved quotes.
  • Invoiced: the total of the invoices that have been sent.
  • Paid: what the client has paid so far.
  • Balance: invoiced minus paid.

The next step button

The strip has one button for whatever should happen next. It changes as the work moves along:

WhenThe button says
There's a request but no quoteCreate quote
A quote is open (draft, sent or changes requested)Approve quote #…. Approving starts the project.
The quote is approved but there are no visitsSchedule the first visit
The project's invoice is still a draftSend invoice #…
A visit is still activeNext visit: job #…
An invoice is waiting for paymentRecord payment on invoice #…
Every visit is done and nothing is invoicedCreate the final invoice
Everything is paidClose the project, then Paid in full

Tip

If you're not sure what to do with a record, look at the next step button. It's usually the answer.

One invoice per project

A project is billed on one final invoice. Fylder builds it from:

  1. The lines on the approved quote (the contract), and
  2. Any lines on visits that weren't part of that quote, each marked with its visit, such as "Visit #12: Extra outlet".

You can rebuild the invoice as often as you like while it's a draft. Once it's sent, it's locked to that project. See Invoices for details.
