Invoices
Bill a project or a job, send the invoice, and track it until it's paid.
Create an invoice
There are three ways:
| From | How | What's on it |
|---|---|---|
| A project | Create the final invoice on the project's pipeline strip | The approved quote's lines, plus extra lines added on visits |
| A job | Create invoice on a completed job | The job's lines (or, for a job on a project, the project's final invoice) |
| Scratch | Create → Invoice | Whatever you add |
An invoice has a client, a subject, line items from your catalog, a tax rate, an optional due date and a message to client. New invoices start as drafts, so you can check them before they go out.
Bill a project
A project is billed on one final invoice:
- Its subject is "Final invoice: project name".
- It includes every line on the approved quote (the contract).
- It adds any lines on the project's visits that weren't on the quote, each noted with its visit, such as "Visit #12: Replace two breakers".
- It uses the quote's tax rate.
- Completed visits on the project are marked Invoiced.
Added more work after creating it? Select Create the final invoice again while it's still a draft. Fylder rebuilds it with the latest lines. Once the invoice has been sent, it can't be rebuilt.
Send it
Open a draft and select Mark as sent once you've sent it to the client. The invoice moves to Awaiting payment.
If you left the due date blank, Fylder sets it from your payment terms in Company settings. For example, with 30-day terms, an invoice sent on the 1st is due on the 31st.
An invoice with a total of zero is marked Paid as soon as it's sent.
Get paid
On an invoice awaiting payment, select Record payment:
- Amount: starts at the full balance. Change it for a partial payment.
- Method: card, cash, check, bank transfer or other.
- Date: when you received it.
- Note: a check number or payment reference.
The invoice shows the balance due after each payment. When the balance reaches zero, it's marked Paid.
Rules to know:
- You can't record a payment on a draft. Send it first.
- A payment can't be more than the balance due.
- A paid invoice can't be edited.
- If you edit an invoice that's partly paid, the new total can't be less than what's already been paid.
Bad debt
If a client won't pay, select Mark bad debt on the invoice. It moves to the Bad debt tab and stops counting as money you're owed.
Invoice tabs

|---|---|
| Draft | Not sent yet |
| Awaiting payment | Sent and not fully paid |
| Past due | Awaiting payment and past the due date |
