Projects
Boards of tasks for each piece of work, with the contract, visits, invoice and payments in one view.
Projects do two jobs in Fylder:
- They hold a client job together. Approving a quote starts a project, and every visit, the invoice and the payments are linked to it. The project page shows how much is contracted, invoiced, paid and still owed.
- They organize your team's tasks. Each project is a board of tasks, grouped and assigned to people, with due dates and an updates thread.
You can also create projects that aren't for a client, such as "Truck maintenance" or "Hire a second crew".
Start a project
Projects for client work start automatically when a quote is approved. To start one yourself:
- Go to Projects and select New project (or Start a project).
- Give it a name and, optionally, a description, a team (department), a project lead, a client, a start date and a due date.
- Under Start with, pick a template:
- Blank: one group, "To do"
- Job phases: Planning, Rough-in, Finishing, Closeout
- This week / next week: This week, Next week, Later
- Select Create project.
Work with tasks
- Add a task: type in the + Add task row at the bottom of a group.
- Assign people: pick one or more people from your Organization directory. They don't need a Fylder login.
- Status: Not started, Working on it, Stuck, In review or Done.
- Priority: Low, Medium, High or Critical.
- Dates: a start date and a due date.
- Updates: open a task to read and write updates, such as progress notes or questions for the office.
Table and Kanban views
Switch between Table and Kanban at the top of the board.
- Table shows each group as a list you can edit inline. Drag tasks to reorder them or move them to another group. Add more groups with New group.
- Kanban shows a column for each status. Drag a card to change its status.
Each group shows a progress bar of how many of its tasks are done. Use the filters to see one person's tasks or search by name.
My work
Projects → My work lists the open tasks assigned to you across every project, so you can see what's on your plate today.
Not showing up in My work?
Fylder matches you to the directory by your login or your email address. If you see "You're not in the organization directory yet", ask an admin to add you in Organization with the same email you sign in with.
The money on a project
A client project shows the pipeline strip and these figures:
| Figure | Comes from |
|---|---|
| Contract | The approved quotes |
| Invoiced | Invoices that have been sent |
| Paid | Payments recorded on those invoices |
| Balance | Invoiced minus paid |
| Materials used | Stock logged on the project's visits, at your cost |
Visits and the final invoice
- Select Add visit on a project to schedule a job on it. See Jobs.
- When the work is done, use Create the final invoice. See Invoices.
- Once the invoice is paid in full, select Close the project to mark it Done.
